Content: Please show me where the data is wrong!

Written by Jason W. D. Cassidy | Oct 21, 2025

Last week, we talked about the difference between making decisions based on feelings versus data.

This week, let’s see what the data tells us on deciding where content should live.

Like what you see? Want to see more? I invite you to chat with my team at Shinydocs.

The “everything must go to SharePoint” Debate

Sad Fact: Your users hate SharePoint.

Have you seen the video “If SharePoint were a real coworker,” sadly - nobody argues this sentiment.

I wish the most popular web based content management system was actually liked.

And yet, IT teams keep trying to force everyone onto it.

What Does the Data Say?

When we actually look at the real content distribution across law firms, government, and corporate environments, we see something different.  This is years AFTER the choice to "move to SharePoint" or some other system of record.

File shares aren’t dead. People still use them a lot.

We're told, “file shares are bad” even though the data shows there are still the most used "content management system" in the world.  There are logical reasons why file shares exist.

File Shares Aren't "Good" or "Bad"

I don’t care if file shares are “good” or “bad.” That’s the wrong question.

The right question is: why are people still using them?

There are lots of good reasons... Linked Excel Spread Sheets, CAD Drawings, works with every application.  Users know it and prefer it.  Lots of custom apps only work with File Shares.  The list is endless, yet we still try to move everything to the web based system instead.

When we stop trying to force one platform to do everything and instead focus on what workloads belong where, we get better adoption, better productivity, and better outcomes.

So before we push everyone onto SharePoint “because that’s the system we chose,” let’s pause and ask...

"What does the data say?"
