Bridging the Chasm: How to Stop Widening the Gap Between Productivity and Compliance

Remember when the choices for managing information was simple?

Back when file shares and emails were enough - people were happy to have digital instead of paper.

But, then came the web-first revolution which brought along metadata, workflow automation, and integrations.

We thought we needed to embrace every new system, every new tool.

But, instead of making things easier, we kept adding layer upon layer of complexity, creating a chasm or gap between productivity and compliance.

Nowadays, most of our data landscapes include:

  • Email
  • File Shares
  • SharePoint
  • OneDrive
  • Teams
  • iManage/NetDocuments/Box/OpenText
  • Salesfoce
  • ERP
  • A dozen or so other systems

And we wonder why our users don't take Information Management and Information Governance as seriously as we need them to...We've given them a lot of complexity!

Is the web-First/cloud-first Metaphor Broken?

The original promise of the the cloud-first strategy was to provide better cheaper faster and more secure decision-making, seamless integration, and effortless compliance.

Instead, we've created a chasm where we struggle to find data - and users avoid engaging with the system at all.

We know what everyone wants:

"What's the button we press to fix this mess and make everyone productive?"

The truth is there is no magic button...But, here's what you can do.

Simplify by Simplifying

At my company Shinydocs, 100% of what we do is simplify.  The process of content analysis is simple.  It's literally a button.  BUT, you still need to use this new content knowledge as leverage to simplify.  That can seem difficult, even if the process of search and reporting on the data is straight-forward.

Many of the businesses we work with are in the same boat - their environment is a mess, data is scattered, misconfigured, and largely unknown.

Our technology helps, but only when the organization is open to being helped.  There is no shortcut or button to press to get to the other side - because YOU need to be the expert on what is needed from your data.

Outsourcing your thinking and your data to some cloud vendor only creates more complexity. Instead, take ownership of your data, simplify your systems, and invest in the right guidance if your team lacks the skills needed to get you there.

The Way Forward

Let's stop making the chasm bigger. Instead of adding more tools, focus on aligning your systems with simplification.
